Quick answer: Decide your price-match policy first, write it down in plain words, and then use AI to turn it into short, consistent answers your whole team can use in store, by phone and by text. Compare the whole deal (delivery, setup, haul-away, installation, warranty help and local service), never criticize the competitor, and never invent a "regular price."
Every independent dealer and local retailer hears it: "I saw it cheaper at the big box," or "Can you match this?" with a phone held up. When each salesperson answers differently, you lose margin on some sales and lose the customer on others.
AI can't set your policy. It can turn your policy into a consistent answer bank in about 20 minutes, and it's a tireless practice partner for the hard conversations.
Try it in 30 minutes
Write your policy in 5 lines (template below). (10 min)
Run the answer-bank prompt and edit the results. (10 min)
Print one page and tape it by the phone and the till. Do one 5-minute role-play with a staff member. (10 min)
What to measure (next 2 weeks): - Tally every price objection: matched, held price and sold, or lost. A sheet by the till works. - Average discount given on matched sales, before and after the answer bank. - How many price questions come by text or chat, and how fast your team replies.
Step 1: Write your policy (fill in the blanks)
OUR PRICE POLICY
1. We match: [identical model / local competitors' advertised in-stock price / authorized dealers only].
2. We don't match: [marketplace sellers, open-box, clearance, bundles, pricing errors, membership-only].
3. Proof we need: [a current ad, link or screenshot we can verify].
4. Who can approve: [any salesperson up to $X / manager above that].
5. What we offer instead when we can't match: [delivery, setup, haul-away, installation help, extended
service, a floor model, a comparable model].
If your vendor agreements include pricing rules, check them before you promise anything.
Step 2: The answer-bank prompt
You help train staff at [Store], an independent [type] store in [town].
Here is our price policy (follow it exactly, don't add terms): [paste the 5 lines]
Here is what's included when you buy from us: [delivery area, setup, haul-away, installation,
financing options, service after the sale, how long we've been in town].
Write short answers, in a friendly, confident, non-pushy voice, Canadian spelling, for:
1. "I saw it cheaper online." (in store)
2. "Can you match this price?" when it qualifies under our policy.
3. Same question when it does NOT qualify. Explain why kindly and offer our alternative.
4. "I'll just order it online." (focus on the total cost and hassle, not on criticizing anyone)
5. "What's your best price?" when there's no competitor price.
6. A text reply to "Do you price match?" under 300 characters.
7. A phone script of 3–4 sentences.
Rules: never say a competitor is dishonest or lying. Never mention a "regular" or "was" price.
Never promise anything that isn't in our policy. End each in-store answer with a question that
moves to a next step (measure, delivery date, comparison, hold the item).
The "whole deal" comparison
Most price objections are really "help me see why this costs more." A simple side-by-side helps. Ask the AI:
Make a simple table comparing buying [product] from us vs. a typical online order.
Rows: price, delivery, carry-in/setup, removal of old item, installation, who to call if there's
a problem, wait time. Use ONLY these facts for our store: [paste]. For the online column, write
"varies — check the listing" rather than guessing.
The "varies — check the listing" rule keeps you honest. You know your own service; you don't know every competitor's.
Pricing claims: stay on the right side
If you advertise savings, be careful with "was/now" claims. Canada's Competition Bureau says a reference price should reflect a price at which a substantial volume sold or the product was offered in good faith for a substantial period (Competition Bureau). If you sell in the US, check the FTC's and your state's rules too. That's why the prompts tell the AI to leave reference prices out. This isn't legal advice.
Tool options (checked Oct 20, 2026)
ChatGPT or Gemini on their free plans are enough for the answer bank and role-play (ChatGPT plans, Gemini plans). ChatGPT Plus is US$20/month if you hit limits (OpenAI).
If you text customers, use your existing texting or messaging tool. Not legal advice: a reply to a customer who asked you a question is different from a promotional blast. CASL covers commercial texts and emails in Canada (CRTC), and the TCPA covers texting in the US (FCC). Get consent before sending promotions and honour STOP.
Watch-outs
Same answer, every channel. If the website chat says one thing and the floor says another, customers notice.
Don't let AI make price decisions. It drafts words; a person approves exceptions.
Update the bank when your policy changes, and date the printed page.
FAQ
Should a small store price match at all? That's a margin decision only you can make. What matters most is having one clear policy that everyone follows, so the answer doesn't depend on who's working.
How do independents compete with big-box stores without matching every price? By selling the whole deal (delivery, setup, local service, people who answer the phone) and following up quickly. See Follow up every quote and walk-out without lifting a finger.
Can staff practise these answers with AI? Yes. Use the price-shopper scenario in Can AI train your salespeople?
